Silent Auction Procedures
Who, What?
Any 4-H member (including Cloverbuds) who enters a quality, useable 4-H Indoor Exhibit or Animal Education Display (not a demonstration, sample, or posterboard) may enter that exhibit in the Fair 4-H Silent Auction as long as it is not a food item or live animal. Examples include, but not limited to, handmade goat soap, leathercraft, photography*, woodworking, cross-stitched pillows, quilts, and garments. Members may enter a maximum of 2 indoor project items.
*Photos should not be framed or glassed for judging. They should be placed on poster board or matted for judging. However, frames may be added (or a separate print used) after interview judging for the auction and will be sold as part of that exhibit.
*Items will be put in the auction the same way they are entered into the Fair. For example, if earrings and a necklace were judged seperately and each received a ribbon, then they would be put into the auction as two seperate items. If they were entered into the Fair together as a set, they they will be put into the auction as a set.
When?
The auction will begin the first day displays are open to the public and will end at 3:30 p.m. on Sunday of the Fair.
If you choose to enter an item in the Silent Auction:
1. Complete and turn in the enclosed Indoor Project Auction form(s) and bid sheet by Tuesday during indoor interviews to the 4-H check-in table. You must complete the bid sheet neatly, stating a minimum bid amount. Bid increments will be set at $1. The suggested starting bid amount should cover your cost plus a slight profit. Refer to your 4-H record book financial sheet before stating a minimum bid. This bid sheet will be displayed with your exhibit during the Silent Auction. You must sign the form(s) and have your parent sign it to give his/her permission for you to sell the exhibit. Once the item enters the silent auction, it must be sold if the minimum bid is reached. If a minimum bid is not reached, ownership reverts back to the 4-H member.
2. No exhibits will be admitted into the silent auction after the exhibit hall (4-H Building) opens to the public, following judging day.
3. The Silent Auction will close at 3:30 p.m. on Sunday of the Broadwater County Fair. Final bidders must retrieve their purchases between 3:30 and 4:30 p.m. and checks made to “Broadwater County 4-H Council”. Cash will also be accepted, but must be the exact change. After monies are received, the Council will write a check to each 4-H member. Items not retrieved by final bidder will be returned to the member who will then be responsible for getting the item to the final bidder and obtaining the money.
4. Any controversy or questions will be handled by the 4-H Indoor Committee or 4-H Council.
