Building Supervisor FAQ
As a Building Supervisor, primary responsibilities involve assisting Facilities Management (FM) in successfully executing our mission, which includes but is not limited to:
Communication
Communicate information between building users and FM for a broad range of activities that may affect a building and/or its users.
Key Distribution
Assist in the oversight of key distribution for the building in which you are located by partnering with FM to review key authorizations and to participate in the call-out process to allow access during “after hours.”
After Hours Building Access – Call Out
Building supervisors are part of the after-hours access call-out process. The process, in order of call, is:

- Department Head
- Building Supervisor
- University Police
Coordination
Assist FM in coordinating building maintenance work, utility outages, renovation work, project planning, compliance inspections (e.g. lab safety).
Regulatory Compliance
Participate in the inspection process and resolution to correct deficiencies and help identify space constraints.
Facilities Condition
Participate in the Facilities Condition Assessment process and planning projects to address maintenance issues.
University Policies
Report and participate in enforcing University Policies.
Other Responsibilities
Coordinate/disseminate information from other entities that rely on the Building Supervisor network – e.g., MSU Police, Safety & Risk Management, University Information Technology, etc.

Facilities Work Control phone number 406-994-2107 is operational 24/7. Outside of typical MSU business hours, a third-party call center answers phone calls and dispatches trades as needed.
The Building Supervisor plays an important role in the communication loop related to the safe operation of facilities. Unfortunately, Facilities Management does not have the resources to notify multiple building users of specific incidents. If your facility experiences an operational problem outside the typical MSU business hours (M-F, 8-5), you will be contacted by the third-party call center. It is the Building Supervisor’s responsibility to initiate their internal communication network to notify additional interested parties within the facility of the situation.
Facilities Management has a single form for all building related requests. This form
is intended to ensure requests for service are routed to the correct department(s)
within our division.
Work Request Form
MSU has a campus-wide agreement with Mountain Alarm for fire, security and environmental alarm monitoring. All billing invoices are received and process centrally by Work Control for all departments on campus. For questions regarding billing, issues or requests for new alarms please contact Work Control 406-994-2107.
